The Latest #3: Server- or Cloud-Based PMS? Part 2
What you need to know
The wrong pair of shoes will pinch your feet, and the wrong pair of loupes will leave marks on your face, but it may not be obvious what makes each style of practice management software (PMS) a good fit. If you’ve already finished Part One of our PMS series and you’re still not sure whether server- or cloud-based PMS suits your practice, don’t worry! We have three more questions to help you decide—and this time, they’re all about you.
First, a quick review of the options:
- Server-based PMS saves your data to an in-office computer (the server).
- Cloud-based PMS uploads your data to servers owned by a third party (storing it in the cloud).
Question # 4: How much do you need from your PMS?
Modern PMS is very comprehensive, so extra bells and whistles (like patient engagement software or billing assistance) might not be a priority for your practice—but if they are, choose a server-based PMS. If the software is hosted on your own server, you’ll have more freedom to install the add-ons you want.
A cloud-based PMS, on the other hand, limits you to pre-approved integrations, chosen by the server owners (i.e. software company). Their house, their rules!
Question #5: What’s your budget?
Changing over to a new PMS can be costly, but the big question is whether you’ll pay for it now or later. Up-front costs are higher with server-based PMS, which will require (you guessed it) a server, plus labor costs to get it up and running. Once you’ve paid for it, though, it’s yours!
Subscription-based models are more common with cloud-based PMS. This option is budget-friendlier at first, but costs can add up over time. Software companies have the right to raise the cost of that subscription, too, so be prepared for price hikes.
Question #6: What gets on your nerves?
If unexpected changes drive you crazy, choose a server-based PMS. Owning your own server means you can choose when to update. Don’t have time to schedule updates? Their cloud-based counterparts tend to update automatically.
No one likes lag—which is unfortunately more common with cloud-based PMS. Downloading data from a third-party server and uploading it onto your computer takes some time. Server-based PMS, which uses your in-office network to transmit data, will give you quicker speeds.
